Facilities Director

General Purpose Statement

Mission: The Aspen Art Museum is a non-collecting institution presenting the newest, most important evolutions in international contemporary art. Our innovative and timely exhibitions, education and public programs, immersive activities, and community happenings actively engage audiences in thought-provoking experiences of art, culture, and society.

The Facilities Director manages Building Management System on a daily basis. Directs, consults and advises on site staff regarding alerts showing on the Building Management System. Advises, supervises and directs ongoing and potential new large maintenance projects. Advises on emergency responses that may arise. Oversees Facilities Assistant and manages contract staff working on all building projects. The Facilities Director maintains the museum facility at all times and is required to be readily available should any potential building emergency happen.

Essential Duties and Responsibilities
  • Oversees and manages the routine and long-range general upkeep, repair, replacement, aesthetics, and extended useful life of all AAM-owned facilities and grounds, including, but not limited to buildings, pavement, vehicles, equipment, tools, landscaping/grounds, and AAM electrical, mechanical, and HVAC systems.
  • Advises on departmental organization, policies, budgets, procedures, and overall work priorities to accomplish department goals and objectives; monitors and maintains records of facility maintenance, budget, repairs, and renovations. Makes independent decisions regarding prioritizing of facility maintenance, purchase of supplies, and contracting.
  • Represents the museum with the highest level of integrity and professionalism. Advocates for and adheres to museum policies. Contributes to and supports management decisions in a positive, professional manner.
  • Establishes and maintains effective working relationships with Facilities Assistant, the public, AAM users and customers, AAM concession tenants, contractors, vendors, suppliers, and consultants.
  • Provides training for staff and operations of department.
  • Assures confidentiality of all records and proprietary information.
  • May confer with and make informed recommendations to upper management regarding staffing, policies, and procedures and special projects as may be necessary to maintain an efficient, safe, and customer-friendly museum.
  • Develops and maintains a thorough working knowledge of all mechanical and electrical systems. Reads, analyzes, and interprets building and design plans, as built documents, blueprints, and schematics
  • Advises on preventative and regular maintenance plans for AAM facilities, systems, and fixtures to ensure efficient and high-quality operation of building, galleries, restrooms, elevators, café, and staff kitchen.
  • Faciltates satisfactory deliver of all services.
  • Identifies and recommends upgrade, replacement, and/or purchase of systems and equipment and procures such as necessary within AAM procurement guidelines.
  • Advises on all facilities maintenance including but not limited to: snow removal, janitorial svcs., operation of outdoor water filtration systems.
  • Advises on art installations that impact building structures, including outdoor installations and communication with engineers and city of Aspen departments.
  • Reponds to maintenance-related calls during off-duty hours, requires ability to respond withing fifteen mintues for on-call emergencies and critical events.
  • Advises on emergency-response protocol and Emergency Policies and Procedures Manual.
  • Reviews emergency incidents and recommends new processes or procedures for improved operations.
  • Maintains effective working relationships with local law enforcement, fire, and medical response teams.
  • Works with Chief Operations Officer in review of the department budget.
Knowledge, Skills, and Abilities
  • Analytical skills to project and track budget, manage building/facilities capital expenditures, and maintain all financial records and report on key metrics to stakeholders.
  • Knowledge of AAM and department policies and procedures.
  • Knowledge of supervisory skills and department management.
  • Independent judgment is required to plan, prioritize, and organize a diversified workload; recommend changes in practices or procedures.
  • Dependability, flexibility, and adaptability in a dynamic event-driven environment with a demanding event execution schedule.
  • Computer skills to complete forms and paperwork and to use email.
  • Ability to read, understand, and complete written and verbal requests and work assignments.
  • Ability to communicate orally and in writing.

  • Knowledge of security operations, safety practices in a business environment, and enforcement procedures.
  • Ability to anticipate, intervene, and prevent potentially harmful circumstances to artwork. • Ability to read and interpret documents such as safety rules, product information manuals, and instructions.
  • Attention to detail and the ability to stay alert.
  • Ability to work positively with colleagues, artists, the public, Board of Trustees, donors, and volunteers.
Requirements and Qualifications
  • College, technical school, or training in electrical, plumbing, HVAC, construction management, engineering, or a related field. Specialty certifications preferred. PLUS
  • FIVE years progressive work experience and supervision in facility maintenance and management, which included complex computerized control systems.
  • Any combination of education, training, and experience, which provides the required knowledge, skills, and abilities to perform the essential functions of the job, may be substituted for the above qualifications.
  • Proficiency in Microsoft Office and other job-related computer software programs and equipment.
  • Must possess and maintain a valid Colorado driver’s license and satisfactory driving record throughout employment.
  • Must satisfactorily pass a criminal background check.
  • Must respond remotely within FIFTEEN minutes on-call emergencies and critical events.
Mental and Physical Abilities, Work Environment
  • The ability to work extended hours during a mentally and physically demanding events schedule while remaining flexible, calm, positive, and professional.
  • The ability to lift over thirty to fifty pounds and be on your feet for at least four to eight hours or more continuously.
  • Ability to sit at a computer station for at least four to eight hours or more continuously.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with and resolve problems while remaining flexible.
  • Effective interpersonal skills, including the ability to work positively with colleagues, artists, the public, Board of Trustees, donors, and volunteers.
  • Must be service-oriented and adaptable to change.
  • Ability to communicate orally and in writing.
  • Ability to work on your feet for up to four to eight hours at a time while working onsite. • Ability to read and interpret documents such as safety rules, operation and maintenance manuals, and instructions.
  • Ability to respond to emergency duty after normal working hours.
  • Ability to walk, talk, and hear. Ability to sit, stand, climb, balance, stoop, kneel, crouch, crawl; taste and smell, use hands to finger, handle, or feel; reach with hands and arms; lift and/or move up to fifty pounds unassisted.
  • Frequently required to use close and distant vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Required to sit and or stand for long periods; use hands and arms to enter data on a computer keyboard, reach, hold, lift, and move objects; talk and hear to effectively serve patrons; and to lift and carry heavy service trays and other items.
  • May occasionally be required to climb or balance, stoop, kneel, crouch, or crawl, and to lift and move between thirty to fifty pounds without assistance.
  • Work is mostly indoors but will also require outdoor exposure when the Café glass curtain is open to the Sculpture Garden and while assisting with off-site events.
  • Appropriate staff dress is required at all times.
Hours and Work Schedule

This is a salaried position that generally requires availability Monday through Friday with an occasional weekend, evening, and holiday work. The Facilities Director position is exempt from the Fair Labor Standards Act and does not receive overtime pay for hours worked in excess of forty in a seven-day work week.
